Plan work

Projects and files

Create a project, work through its tabs, and manage the documents that prove the operation was legal.

A project is the delivery record for one site: it owns the coordinate system, the flight areas, the reusable RAMS and the document trail, and every job inherits from it. Projects live at /projectsProjects in the sidebar.

Before you start

The Equipment step of the create wizard needs the Manage equipment permission; skip it and you can set the standard kit later. The Files tab needs View files, and the Billing tab needs Manage finance. Tabs you cannot use do not render at all.

Steps

  1. Start a new project

There is no create button on the /projects list. Open the Create menu in the app header and choose New project, or run New project from the command palette. The Create project wizard has three steps: Details, Location and Equipment.

  2. Complete the Details step

Enter Project name (3–120 characters) and Description (10–600 characters), then set Status to Active, Completed or Archived. Under Client and contacts, pick at least one client — the wizard will not advance without one.

  3. Set the site location

On Location, search or select the operating site and confirm the address. Turn on Restricted airspace if flights here need extra permissions; that flag drives flight-release checks on every job in the project.

  4. Set the standard loadout, then create

On Equipment, add the usual kit. New jobs on this project start with this loadout. Select Create project.

  5. Work through the Overview pips

The new project opens on Overview. The pip bar across the top is your setup checklist — Coordinate system, Flight areas, Control points, RAMS, Equipment and Billing — and each pip shows its own state, for example Not set, No boundary or 3 defined. Clicking a pip jumps straight to the tab that owns it.

  6. Upload the project documents

Open the Files tab and select Upload file. Choose the file, then set Display name, Document type and Document date. Add an Operational note if the version needs explaining, and tick Current version to mark it as the file people should use now. Select Upload file to finish.

Options

Document types and validity

Document type drives how the file is treated. The options are Document, RAMS, Permission, Certificate, Image, KML, Survey (JXL), CRS, Survey supplement, PDRA01, Quote, Purchase order and Invoice.

Choosing Permission adds a Permission validity block with Status (Approved, Pending or Rejected), Valid from and Valid to. The Validity column then tracks the window for you and reads Expires in 9d inside the last fortnight, Expires today on the day, and Expired 3 Jul after it. Every other document type shows a dash.

Who can do what with files

Permission toggleSee the Files tabUpload and renameDelete
View filesYesNoNo
Upload & edit filesYesYesNo
Delete filesNoNoYes
Granted separately, but they stack in practice: without View files the Files tab never appears, so the other two have nothing to act on.

View files also controls whether the Files tab appears at all, and everyone who has it can use the download button on a row. Upload & edit files adds Upload file and the Edit details row action. Delete files adds the Delete row action, which opens Delete file? and warns that the action cannot be undone.

The other project tabs

Spatial is the map workspace — coordinate system, flight areas, orthophotos, control points and annotations. RAMS holds the reusable risk assessments. Equipment shows fleet health, the Default kit that pre-fills new jobs, and job coverage. Billing holds the Commercial register: Quotes, Orders and Invoices.

What happens next

Jobs created on this project inherit its client, coordinate system, flight areas, default kit and project annotations. Set the coordinate system before you import anything spatial — see Coordinates and control points.

Troubleshooting

The upload fails with a generic error. Every upload reserves storage against the plan allowance first: 2 GiB on Starter, 25 GiB on Pro, 150 GiB on Business, unlimited on Enterprise. If the organisation is at its limit the reservation is refused and the Files tab reports Failed to upload file. Check Storage on the organisation billing page.

There are no folders. Files are a flat list. Use Document type and the search box — which matches name, note and uploader — to narrow it.

A deleted project is not really gone. The project header’s controls menu offers Move to trash, whose dialog is titled Archive Project?; the project and its jobs move to the trash view and can be restored there with the Restore deleted items permission. Delete permanently in the same menu is the irreversible one. Note that the Archived status is a separate idea — an archived project still sits in the registry.
