Jobs and assignments

A job is one visit to a site. It carries the schedule, the crew, the forms, the equipment and the flight record. Getting the crew right matters more than it looks: who is assigned, and in which role, decides who is allowed to record flight clearance on the day.

Before you start

Choose the job template first — it sets the job’s stages, sections and crew roles, and you cannot add roles from the create wizard. If the template has no roles, the wizard skips the People step entirely and you staff the job afterwards from its Crew panel.

Steps

1. Open the create wizard

   From a project, select New job in the project header. From anywhere else, use Create in the app header and choose New job, or run New job from the command palette. Right-clicking a date on the calendar gives you Schedule job with Use this calendar date pre-filled.

2. Complete the Details step

   Pick the Project (already set if you started from one), then Job template, then Authorization type — Open category, PDRA01 or UK SORA / legacy OSC OA. All three are required before Next will move you on.

3. Set a date, or leave it unscheduled

   On Schedule, pick a date and time. The helper text says it plainly: Optional — leave blank to create an unscheduled job. Unscheduled jobs queue up in the Unscheduled jobs panel on the calendar. With a date set you can also turn on Recurring series and choose Daily, Weekly or Monthly.

4. Assign the crew

   On People you get one picker per template role, placeholder Assign employees…. Assign the Pilot role now if the template has one. Select Create job, or Create N jobs for a recurring series.

5. Fill any gaps from the Crew panel

   Open the job and stay on Overview. The Crew panel meta line reads either 4 people · fully staffed or 3 people · 1 gap. Select Assign on an unfilled role, or Manage crew to open Roles on this job and change several at once, then select Save changes.

Options

Why the Pilot role specifically

Assigning somebody to a job is not the same as making them a pilot on it. The server treats an assignment as a pilot assignment only when its system role is Pilot, or when the role name contains the word “pilot” — so a custom role called “Remote Pilot” or “Co-pilot” also counts, and one called “Operator” does not.

Two things depend on that.

• Readiness. With no pilot assignment the job carries the blocking finding No remote pilot is assigned to this job, whose fix link is Assign a pilot.
• Recording clearance. Only somebody assigned to that job in a pilot role can record a flight clearance on it. The one exception is a holder of the Manage flight logs permission, who can record a decision on any job in the organisation without being assigned at all.

The job tabs

Overview, Spatial, Weather, Forms and Equipment are always there. Logs needs the flight_logs plan feature and either organisation admin or the Manage flight logs permission. Billing needs Manage finance.

The header readouts

Below the breadcrumb the job header shows Status, Date, Flight release, Mileage and Airspace. Date is a live picker — it reads Unscheduled until you set one, and you can schedule the job from here instead of the calendar. If the job was cancelled with a reason, the Status cell replaces its own label with that reason.

What happens next

Job state moves through New, In progress, Completed, On hold and Cancelled, driven from the Job state group in the job controls menu — Put on hold, Resume job and Cancel job…. The same menu holds Rename job, Archive job and Delete permanently.

With a pilot assigned and a job RAMS issued, the job can go to flight clearance. See Flight clearance.

Troubleshooting

The People step never appeared. The chosen job template defines no roles. Add roles to the template, or staff the job from its Crew panel — which will show No crew roles defined and Add roles to the job template to assign employees. until you do.

Somebody shows as (left). They are an inactive employee. Existing assignments are kept and labelled, so historical jobs still name who flew them.

The Logs tab is missing. Either the plan does not include flight logs, or you lack both organisation admin and Manage flight logs.
