Add equipment and vehicles

/organization/equipment is your asset register: drones, batteries and everything else your organisation owns. It matters more than a stock list, because serial numbers here are what imported flight logs, maintenance schedules and the CAA audit pack all match against.

Before you start

Needs the Manage equipment permission. Collect serial numbers, purchase dates and warranty dates first — retro-filling a fleet is dull work.

Steps

1. Open the equipment register

   Go to OrganizationEquipment (/organization/equipment). Four panes down the left: Items, Kits, Maintenance and Fleet health. Fleet health is derived entirely from flight logs, so it only appears if you also have the Manage flight logs permission.

2. Add each item

   On Items, select Add equipment. Pick the category — Drone/Airframe, Camera, Battery, GPS receiver, Data logger, AeroPoint or Other — and the form changes to match it. A drone asks for weight class, remote ID status, payload type, UAS type, take-off mass and MTOM; a battery asks for capacity, cells, voltage and cycle count.

   Fill in Serial number even where it is optional.

3. Group things into kits

   Select Kits to bundle items that always travel together — an airframe, its batteries and its controller. The pane counts them as Total kits, Ready and Needs attention, so a kit missing a serviceable battery shows up before the van leaves.

4. Open an item's record

   Select any row to open its detail page at /organization/equipment/…. This is the page the home Attention panel links to when maintenance falls due, and it is where the full history of one asset lives.

   Details carries the serial, firmware, software, Assigned to, supplier, purchase price and Warranty expiry, plus the category-specific fields and — for drones — the Recency group the aircraft is classified into. Components links a drone to its camera and batteries. Technical logbook shows hours and flight count (charge cycles for a battery) with View technical logbook through to the full history. Job assignment lists the active jobs the item is committed to. Below that sit its images, Catalogue specifications for a recognised model, its maintenance schedule and its certificates.

   Select Edit in the header to change anything.

Options

Vehicles are separate. They live at /organization/vehicles, need the View vehicle tracking permission and a Business plan, and are populated from ABAX rather than entered by hand. Until the integration is connected the page shows ABAX not connected with a Connect ABAX button through to /organization/integrations. Once connected you get Total, Active, Unassigned and Archived counts, per-vehicle user assignment, and Archive vehicle for anything off the road.

What happens next

Equipment becomes selectable on projects and jobs, and drones classified into a recency group start feeding pilot currency. Maintenance you schedule against an item surfaces on the home Attention panel up to 60 days ahead — see Equipment maintenance.
